Access Control helps keep data secure by limiting who can see and manage assessment projects. This guide explains how to set up and manage access.
What is Access Control?
With Access Control users can be organised in groups. For each individual assessment project a number of groups can be granted access to the assessment. Only users in those selected groups can see the assessments when Access Control is activated.
General Access Rights
Administrators
- Have full access to all data and settings.
- Remove administrator rights from users who don’t need full access.
Assessment Owners
- Always have access to their assigned assessments.
- The owner is the user who created the assessment but can be changed in the assessment.
Assigning Roles to a User
Determine Administrator Rights
Assess whether the user requires administrator rights based on their role and responsibilities within the organization.
Assign User to Groups
Allocate the user to specific groups that have access to relevant assessment projects. Ensure the groups align with the user's job functions and project involvement.
Set User Permissions
Define the permissions the user needs to access the "Setting functionalities" of your company's partition.
Note: Users with access to the "Users" tab can assign themselves access to Groups and Permissions, including Admin access.

Creating Groups
- Go to Settings > Groups.
- Click New Group, enter a name, and save.
Activating Access Control
- Go to Settings > Groups.
- Toggle Access Control to "On."
Assign Users to Groups
- Go to Settings > Users.
- Click Action> Edit User.
- Select the Groups you would like the user to be assigned to.
Assigning Groups to Assessments
- Open an assessment.
- Click the lock icon.
- Select a group to grant access.
Overview of Group Assignments
You can also view the list of assessments and users assigned to a group, in the menu click the “Group Assignments” option and you will be shown exactly which users and assessments are assigned to a group.
Assign Groups to a New Assessment
- Create a new assessment.
- Select a group to grant access.
